3G Artificial Turf Pitch Hire Terms & Conditions

The following terms and conditions apply to any hirer (“you”) booked by Aspire@Southfields (“we” or “us”). The hirer, his agents, employees, licensees and invitees, will be bound by these terms and conditions governing the use of 3G Artificial Turf Pitch at Aspire@Southfields (t/a Aspire Centre). Please ensure you have read and understand the following and please keep a copy for your records:

1. Conditions on activity and site

  1. Pitch areas are booked for the use of pitch for sports, and other approved activities.

  2. Bookings are charged by the hour based on our current hire rates, unless otherwise agreed with management. The allocation of seasonal pitch space and the duration of the booking are subject to the discretion of management.

  3. Match fixture and seasonal weekend bookings are processed in 2-hour timeslots unless otherwise agreed with the management.

    1. If you are found to inaccurately disclose the nature of the booking you shall be liable to pay the reminder of the costs involved.

    2. We reserve the right to cancel your future bookings at any time without notice if you do not disclose the nature of the booking accurately.

  4. You are responsible for the party to arrive in adequate time to prepare and commence games/training and leave promptly at the end of the session.

    1. Booking must be paid in advance prior to entering the pitch (unless otherwise agreed with the management).

    2. Access to the facilities will be provided 10 minutes before the first booking of the day.

    3. Pitch must be vacated at the end of the booking.

    4. Failure to do so will incur a supplementary charge based upon the hourly charge for the booking which the hirer will be invoiced for.

    5. We reserve the right to cancel any ongoing booking if your party fails to leave the pitch turf and/or overlaps the next booking in place.

    6. We are not liable for any fines and/or fees incurred in the league your team/club is involved.

  5. Changing accommodation where available is provided as part of the booking.

    1. Changing accommodation must be vacated 30 minutes after the end of the booking.

    2. Last bookings of the day between Monday and Friday are not entitled to changing accommodation and the premises must be vacated when booking finishes.

    3. Failure to do so will incur a supplementary charge based upon the hourly charge for the booking which the hirer will be invoiced for.

  6. Aspire@Southfields reserves the right to decline booking requests or to limit the amount of time played during a booking if it deems that this is in the long term interests of the sustainability of the playing surface and/or the safety of those using it.

2. Sub-letting pitch hire

  1. Sub-letting of pitches or facilities is not permitted under any circumstances. Bookings are non-transferable.

  2. Any hirer to be found sub-letting pitches will be subject to a termination of their booking(s).

  3. Any hirer sub-letting pitches will forfeit any monetary contribution they have made towards their booking due to the loss of those pitches for usage by others.

    1. Your account will be terminated removing any benefits you would benefit from by being a regular hirer.

3. Cancellations

  1. Aspire@Southfields reserves the right to close any part of the pitch or grounds during any day or days on which it has been let.

  2. We reserve the right to cancel your ongoing booking permanently if we deem the occurrence of cancellations from you is too frequent.

    1. Cancellation of five consecutive bookings will put hirer at risk of permanent cancellation of the ongoing booking subject to managements’ discretion.

    2. Aspire@Southfields is not liable for the cancellations incurred from any members of your party. This includes; but is not limited to injuries or absence of your party members for any other reason.

  3. Pitch bookings may be cancelled without charge 72 hours prior to the scheduled booking by written notice. Where a cancellation is not made in accordance with this rule, we reserve the right to charge the full amount.

    1. For the avoidance of doubt, we shall have no further liability to you for any changes to or the cancellation of any booking.

4. Use of facilities

  1. All hirers using facilities at Aspire@Southfields shall behave in a manner that does not cause injury, damage or nuisance to property, staff or other users of the pitch. You shall conform to any regulations or byelaws in force with respect to the grounds and comply with any instructions they may receive from the staff or any other staff associated with Aspire@Southfields.

    1. The facilities must be used only for their intended purposes. Any misuse of the facilities, including but not limited to inappropriate or unauthorized activities, is prohibited. Fence climbing is strictly forbidden as it can cause injury and/or harm.
  2. All hirers and persons under their supervision, must at all times conduct themselves in a manner considered not to cause unreasonable noise nuisance or inconvenience to other customers, staff or nearby residents. Noise nuisance/disturbance includes; but is not limited to:

    1. Unnecessary noise/shouting,
    2. Use of whistles (for non-competitive use), horns etc.,
    3. Offensive or foul language,
    4. Repeatedly kicking ball against fencing or buildings,
    5. Excessive use of any audio equipment deemed by staff to cause nuisance/disturbance

    NB. Failure to adhere will result in immediate termination of all your future bookings.

  3. You will be responsible for wilful or negligent damage caused to the pitch, equipment, building, fences or any other part of Aspire@Southfields property by their own party, or the members of a party against whom you are playing.

  4. All hirers agree to be responsible and supervise all members within their party and any other party associated during the hire period.

  5. You must ensure that you treat the facilities in a proper manner. Failure to adhere will result in £50.00 fine issued per each booking.

    1. No washing of boots in showers or changing accommodation.

    2. Kicking off footballs in buildings, and other areas of premises with surfaces not covered with turf and deemed not playable.

    3. Leaving litter of any kind on premises e.g. cans, wrappers, bottles etc.

    4. No glass bottles or glass in any form must be taken into the changing facilities.

  6. No liquor or any alcoholic beverages shall be brought in and/or consumed on the premises.

  7. No smoking, vaping or anything that is deemed combustible on the premises under any circumstances.

  8. If you fail to comply with any of these regulations and conditions, you will be liable to forfeit the use of the pitch, ground or facility without any adjustment of fees in respect thereof, such forfeiture to be without prejudice to any other claims or remedies which Aspire@Southfields may have against you.

5. Regular block bookings

  1. You may, subject to availability (and deposits being confirmed), block hire our facilities for seasonal periods of up to 9 months in advance by contacting Aspire@Southfields management, although block bookings greater than this period will only be considered under exceptional circumstances and by written application to management.

    1. Block hire of facilities may only be secured by submitting an application form with Aspire@Southfields
  2. Hirer has two payment options:

    1. ‘Advance Payment’ - which requires the hirer to make a payment within the 72 hour window before each booking commences. We may refuse hirer’s party the access to our facilities until the outstanding payment is made.

    2. If the hirer opts in to be ‘Invoiced’, we will bill them for all bookings on a monthly basis after the bookings take place.

  3. All bookings must be paid for before the commencement of the booking.

    1. Provisional bookings are offered upon management’s discretion.

    2. Each team must have the ability to pay by credit/debit card and/or BACS transfer; all facility hire bookings require cashless transactions.

  4. Each team/club must have a single email address and phone number for contact purposes.

    1. It is the responsibility of the hirer to report any changes in communication, this includes but is not limited to changes in appointed person as contact (full name, email and phone number) and invoicing details (full name, address, email and phone number) if required.
  5. The hirer must either;

    1. Book the pitch at the normal member rate as and when required by the team before the booking commences, or
    2. Make at least 10 bookings at a time, ahead of the first booking commencing.

6. Equipment

  1. All goalposts and facility equipment are to be used for their intended purpose only. All safety guidelines must be obeyed at all times as displayed on the appropriate signage throughout the facility and its equipment. Goalpost availability is as follows:

    1. 1⁄3 pitch hire; one pair of 7-a-side goals or 9-a-side goals
    2. 2⁄3 pitch hire; one pair of 7-a-side goals and/or 9-a-side goals, one 11-a-side goal
    3. Full pitch hire; two pairs of 7-a-side goals, one pair of 9-a-side goals, and one pair of 11-a-side goals
  2. The floodlights consists of 8 posts with 2 sets of lights each, providing four sources of light in each corner for pitch hire, however we reserve the right to provide less if we deem it reasonable.

    1. One reserve floodlight will be provided by the exit/entrance to aid with exiting of last booking in darkness.
    2. For booked sessions the main floodlights will be turned on at the start and turned off at the end of the booking.
    3. Weekday bookings are subject to floodlights switching off 5 minutes before closing time.

7. Assignment and subcontracting

  1. We may at any time assign, transfer, charge, subcontract or deal in any other manner with all or any of our rights under the contract between us and may subcontract or delegate in any manner any or all of our obligations under the contract between us to any third party or agent.
  2. You shall not, without our prior written consent, assign, transfer, charge, subcontract or deal in any other manner with all or any of your rights or obligations under the contract between us.

8. Governing Law

  1. This Agreement and these Conditions shall be governed by and construed in accordance with the law of England and Wales and you agree that any disputes shall be resolved and interpreted exclusively by the Courts of England and Wales.

  2. We reserve the right to change these Terms & Conditions at any time. Any current bookings in place affected by the change will be informed before the commencment of their next booking.
