Facility Hire Terms & Conditions

The following terms and conditions apply to any hirer (“you”) booked by Aspire@Southfields (“we” or “us”). The hirer, his agents, employees, licensees and invitees, will be bound by these terms and conditions governing the use of all venues/facilities at Aspire@Southfields (t/a Aspire Centre). Please ensure you have read and understand the following and please keep a copy for your records:
1. Conditions on activity and site
Facilities are booked for the use of sports, and other approved activities.
Bookings are made by the hour unless otherwise agreed with the management.
Bookings are made in 1-hour timeslots unless otherwise agreed with the management.
If you are found to inaccurately disclose the nature of the booking you shall be liable to pay the reminder of the costs involved.
We reserve the right to cancel your future bookings at any time without notice if you do not disclose the nature of the booking accurately.
You are responsible for the party to arrive in adequate time to prepare and commence booking and leave promptly at the end of the session.
Booking must be paid in advance prior to entering the venue (unless otherwise agreed with the management).
Facility must be vacated at the end of the booking.
Failure to do so will incur a supplementary charge based upon the hourly charge for the booking which the hirer will be invoiced for.
We reserve the right to cancel any ongoing booking if your party fails to leave the facility and/or overlaps the next booking in place.
NB. We are not liable for any fines and/or fees incurred in the event(s) you are involved.
Changing accommodation where available is provided as part of the booking.
Changing accommodation must be vacated within 30 minutes after the end of the booking.
Failure to do so will incur a supplementary charge based upon the hourly charge for the booking which the hirer will be invoiced for.
Changing rooms will not be provided if the booking finishes less than 15 minutes before centre closure.
Aspire Centre reserves the right to decline booking requests or to limit the amount of time during a booking if it deems that this is in the long term interests of the sustainability of the playing surface and/or the safety of those using it.
2. Sub-letting
Sub-letting of facilities is not permitted under any circumstances. Bookings are non-transferable.
Any hirer to be found sub-letting facilities will be subject to a termination of their booking(s).
Any hirer sub-letting facilities will forfeit any monetary contribution they have made towards their booking due to the loss of those bookings for usage by others.
- Your account will be terminated removing any benefits you would benefit from by being a regular hirer.
3. Cancellations
Aspire Centre reserves the right to close and/or cancel any facility during any day or days on which it has been let.
We reserve the right to cancel your ongoing booking permanently if we deem the occurrence of cancellations from you are too frequent.
Cancellation of five consecutive bookings will put hirer at risk of permanent cancellation of the ongoing booking subject to managements’ discretion.
Aspire Centre is not liable for the cancellations incurred from any members of your party. This includes; but is not limited to injuries or absence of your party members for any other reason.
Any facilities booked may be cancelled & amended without charge 72 hours prior to scheduled booking by written notice via web form at www.aspirecentre.com/booking-cancellation-request. Where a cancellation is not made in accordance with this rule, we reserve the right to charge the full amount.
For the avoidance of doubt, we shall have no further liability to you for any changes to or the cancellation of any booking.
4. Use of facilities
All hirers using facilities at Aspire Centre shall behave in a manner that does not cause injury, damage or nuisance to property, staff or other users of the centre. You shall conform to any regulations or byelaws in force with respect to the facilities and comply with any instructions they may receive from the staff or any other staff associated with Aspire Centre.
- All hirers and persons under their supervision, must at all times conduct themselves in a manner considered not to cause unreasonable noise nuisance or inconvenience to other customers, staff or nearby residents. Noise nuisance/disturbance includes; but is not limited to:
- Unnecessary noise/shouting,
- Offensive or foul language,
- Excessive use of any audio equipment deemed by staff to cause nuisance/disturbance.
- All hirers and persons under their supervision, must at all times conduct themselves in a manner considered not to cause unreasonable noise nuisance or inconvenience to other customers, staff or nearby residents. Noise nuisance/disturbance includes; but is not limited to:
You will be responsible for wilful or negligent damage caused to equipment, building, fences or any other part of Aspire Centre property by their own party, or the members of a party against whom you are playing.
All hirers agree to be responsible and supervise all members within their party and any other party associated during the hire period.
You must ensure that you treat the facilities in a proper manner. Failure to adhere will result in £50.00 fine issued per each booking.
Leaving litter of any kind on premises e.g. cans, wrappers, bottles etc.
No glass bottles or glass in any form must be taken into the facilities.
No liquor or any alcoholic beverages shall be brought in and/or consumed on the premises.
No smoking, vaping or anything that is deemed combustible on the premises under any circumstances.
If you fail to comply with any of these regulations and conditions, you will be liable to forfeit the use of the facilities, ground or facility without any adjustment of fees in respect thereof, such forfeiture to be without prejudice to any other claims or remedies which Aspire@Southfields may have against you.
5. Regular block bookings
You may, subject to availability (and deposits being confirmed), block hire our facilities for seasonal periods of up to 9 months in advance by contacting bookings@aspirecentre.com, although block bookings greater than this period will only be considered under exceptional circumstances and by written application to management.
- Block hire of facilities may only be secured by placing a deposit (worth one month of bookings) with Aspire Centre, which may be used against your last invoice unless you are found liable for any damage to the facility.
All bookings must be paid for before the commencement of the booking.
- Provisional bookings are offered upon management’s discretion.
- Hirers can be invoiced after the bookings take place upon management’s discretion.
The hirer must either;
Book the facilities at the normal member rate as and when required by the team before the booking commences, or
Make at least 10 bookings at a time, ahead of the first booking commencing.
6. Equipment
- All facility equipment is to be used for their intended purpose only. All safety guidelines must be obeyed at all times as displayed on the appropriate signage throughout the facility and its equipment.
- We ensure all sports facilities have all lights working at all times, however we reserve the right to provide less if we deem it reasonable (safety-wise) – one example being the activity taking place in daytime.
7. Conditions of Facilities
We strive to provide high-quality facilities suitable for various activities, ensuring safety, comfort, and excellent user experience. When hiring our sports halls, fitness studios, swimming pool, classrooms, or MUGA courts, the following conditions apply:
Swimming Pool Hire
The swimming pool is maintained in accordance with Health and Safety in Swimming Pools (HSG179), which provides guidelines for pool management, water quality, and temperature.
Pool Temperature:
The recommended pool water temperature varies depending on the activity and user group. For general swimming, we maintain temperatures between 27–29°C, while for children’s swimming lessons, the range is 28–31°C.
To accommodate all users, we aim to keep an average temperature of 29°C. Please note that the pool's temperature cannot be adjusted quickly between sessions, as the large body of water requires significant time for any cooling or heating changes.
For peace of mind, temperature readings must be taken using dip thermometers (not handheld devices) to ensure accurate measurements.
Hirers are responsible for ensuring that pool use complies with Aspire Centre’s PSOP guidelines and staffing requirements, including appropriate supervision and lifeguard coverage.
Any specialized equipment or additional requirements for pool hire must be agreed upon at the time of booking.
Sports Halls and Fitness Studios
Hire includes access to basic equipment such as mats, weights, and goals, depending on the activity. Any additional equipment must be requested and approved in advance.
Hirers are responsible for leaving the space in a clean and orderly condition.
MUGA Courts
The Multi-Use Games Area (MUGA) courts are suitable for a range of outdoor sports, including football, netball and tennis.
Court hire includes basic markings and nets appropriate for the selected sport.
General Conditions:
All hirers must adhere to Aspire’s terms of use, including the code of conduct and health and safety policies.
Any damage to the facilities or equipment must be reported immediately and may incur additional charges.
Aspire reserves the right to cancel or refuse bookings if the terms and conditions are not met.
8. Assignment and subcontracting
- We may at any time assign, transfer, charge, subcontract or deal in any other manner with all or any of our rights under the contract between us and may subcontract or delegate in any manner any or all of our obligations under the contract between us to any third party or agent.
- You shall not, without our prior written consent, assign, transfer, charge, subcontract or deal in any other manner with all or any of your rights or obligations under the contract between us.
9. Governing Law
This Agreement and these Conditions shall be governed by and construed in accordance with the law of England and Wales and you agree that any disputes shall be resolved and interpreted exclusively by the Courts of England and Wales.
We reserve the right to change these Terms & Conditions at any time. Any current bookings in place affected by the change will be informed before the commencment of their next booking.
